For the Diocese Office
Approving requests, your people, and how requests run.
- 1
Before you go live
A new diocese starts in onboarding: only admins can sign in, and no emails go out, so you can set everything up quietly. In Settings, General, open the Go-live plan to pick your date. Welcome emails go out in the run-up, and on the day everything starts by itself. - 2
Adding one person
In People & Parishes, on the Users tab, fill in the name, email and role and tap Add and send invite. Untick the welcome email to get Add without emailing and send it later (during onboarding it waits for your go-live plan). Everyone needs an email address: it's how they sign in and how they're asked to cover. - 3
People and roles
In People & Parishes, the Users tab lists everyone. The Role menu is Priest, Priest + Admin, Sub only, Sub only + Admin, Parish staff or Admin only. A Sub only priest has no parish of his own and is matched from his home city. - 4
Changing someone
Tap Manage on their row to change their name, email, phone, home parishes, home city or which emails they get, then tap Save changes. It also has their travel radius, Quick Link, Reset password and Remove. To fix a priest's Masses or vacations, tap Sign in as this user and use his My Schedule and My Profile. - 5
Adding many at once
On the Import tab, download the setup file, add one row per priest per weekly Mass or confession, and upload it. You see every change before anything is saved. The file only adds: leaving a row out never removes anything. - 6
Approving requests
Open Approvals from the menu under your name. Tap Approve to send it out, pick a priest and tap Assign & approve, or Deny with a note. Under History, Responses shows who was emailed about each request and who said they can't. - 7
A priest calls the office
In Approvals, use Submit on behalf of a pastor. Pick the priest and the dates. It's approved as it's made, and you can assign someone right there. - 8
Changing a covered Mass
Under History in Approvals, tap Reassign to put a different priest on it, or Cancel if it's no longer needed. Everyone involved is emailed. - 9
How requests run
In Settings, Requests & Matching sets what needs approval, who is asked and when the follow-ups go. Notifications is the alerts you get yourself. - 10
Messages to the diocese
Open Messages from the menu under your name: an email, a banner in the app, or both, to everyone, chosen churches, chosen people or any email addresses you type in. Drafts, templates and scheduling too. - 11
Parish staff
A parish secretary works for one or more parishes or priests. Pick the priest in the Working for menu at the top of Request a Sub, Schedule or Profile, then do what he would do himself. A parish with no regular priest is looked after from Masses That Need a Priest, linked from the Dashboard.
